This Privacy Policy explains how we collect, use, and protect your information when using the BetaHub Bot (“the Bot”) on Discord.
1. Data Controller and Contact
The data controller for personal data related to the operation of the BetaHub Bot is:

The BetaHub Bot is a service operating within the BetaHub platform. It integrates with Discord and with selected tools that support bug reporting, feedback, and project management.
2. What the Bot Does
The BetaHub Bot lets Discord users submit:
- bug reports,
- suggestions and feedback,
- technical information,
- communication related to projects handled by BetaHub.
Depending on the project configuration and the features used by customers, the BetaHub Bot may:
- read messages posted in selected Discord channels,
- analyze message content to detect bugs, suggestions, or feedback,
- forward reports to project and bug management systems,
- integrate with tools used by customers,
- support testing, development, and support processes.
Some features may use automated content analysis or AI/LLM mechanisms. The Bot’s scope of operation depends on the Discord server configuration, project settings, integrations used by the customer, and the permissions granted to the Bot on the Discord server.
3. Data the Bot May Process
Depending on how the BetaHub Bot is used and how a project is configured, the Bot may process the following data:
3.1 Discord User Data
- Discord username,
- Discord ID,
- user avatar,
- Discord channel and server identifiers.
3.2 Data Submitted in Messages and Reports
- message content,
- bug reports and suggestions,
- user feedback,
- links to messages,
- screenshots, recordings, and attachments,
- technical data submitted by users.
Depending on the content of messages or reports, users may also voluntarily provide other personal data.
3.3 Technical and Integration Data
- integration configuration information,
- technical and diagnostic logs,
- data related to security and monitoring of the services,
- data forwarded to integrated systems.
3.4 Automatically Analyzed Data
Depending on the project configuration, the BetaHub Bot may analyze messages and reports to:
- detect bugs,
- classify suggestions and feedback,
- analyze message sentiment,
- organize reports and support processes.
Some features may use AI/LLM services or automated content analysis mechanisms.
4. Purposes and Legal Bases for Processing
Data processed by the BetaHub Bot is used only to the extent necessary to operate the BetaHub services, handle reports, and support testing, development, and support processes. In particular, data may be processed to:
- collect bug reports and suggestions,
- organize user feedback,
- support development and testing processes,
- classify reports and analyze problems,
- integrate reports with project management systems,
- ensure the security and stability of the services,
- monitor the operation of the Bot,
- develop and improve BetaHub Bot functionality.
Depending on the project configuration, messages and reports may be analyzed automatically, including using AI/LLM mechanisms, in particular to detect bugs and suggestions, analyze message sentiment, classify reports, and organize the work of development and support teams.
Automated message analysis is not used to make decisions about users that produce legal effects or similarly significant effects.
The legal basis for processing may include, in particular:
- the provision of BetaHub services,
- the legitimate interests of UPSOFT or of customers using BetaHub,
- the user’s consent,
- legal obligations binding on the data controller.
Users can limit selected automated message-analysis features. In channels with the BetaHub Bot, users can opt out of automatic message processing (such as sentiment analysis and bug detection) using the Bot’s /optout command, where the feature or Bot configuration provides for this.
5. Data Sharing and External Integrations
The BetaHub Bot operates on the Discord platform and uses the Discord API to provide its features. Depending on the project configuration and the integrations used by customers, data processed by the Bot may be forwarded to external services and systems. This may include in particular:
- project and bug management systems,
- support and development tools,
- AI/LLM services,
- cloud and hosting services,
- analytics and monitoring tools,
- other integrations configured by the customer.
The BetaHub Bot may integrate with, among others:
- Discord,
- Jira,
- Asana,
- Redmine,
- GitHub,
- and other tools used by customers.
The scope of data forwarded to integrations depends on the project configuration, integration settings, the content of reports and messages, and the actions of users using the Bot. UPSOFT applies organizational and technical measures to limit the scope of forwarded data to the necessary minimum and to ensure an appropriate level of data security.
Processing of data by external service providers is carried out in accordance with the terms of service and privacy policies applicable to those providers. UPSOFT may share personal data with service providers only to the extent necessary to provide the services, ensure security, maintain the operation of the BetaHub Bot, or fulfill legal obligations.
6. International Data Transfers (Outside the EEA)
In connection with the operation of Discord, cloud services, external integrations, AI/LLM services, and tools used by customers, data processed by the BetaHub Bot may be transferred outside the European Economic Area (EEA). Where data is transferred outside the EEA, UPSOFT applies appropriate safeguards consistent with GDPR, in particular:
- Standard Contractual Clauses (SCC),
- the EU-U.S. Data Privacy Framework (DPF),
- or other mechanisms permitted by law.
UPSOFT follows a risk-based approach and limits the scope of data transferred to external services and integrations.
7. Data Security
UPSOFT applies organizational and technical measures to protect data processed by the BetaHub Bot and to ensure the security of the BetaHub services, in particular:
- access control to systems and integrations,
- authentication of administrators and users,
- security monitoring and event logging,
- encryption of data in transit,
- safeguards for cloud environments and SaaS services,
- backups and data recovery mechanisms,
- restricting access according to roles and business need,
- safeguards related to AI/LLM services.
Data processed by the BetaHub Bot is stored in secured cloud environments and systems used by BetaHub and by customers using the integrations. Access is limited to authorized individuals and only to the extent necessary to handle reports, provide technical support, ensure the security of services, and maintain the operation of the Bot and its integrations. UPSOFT takes action to ensure the security of its services, limit risks, and respond to security incidents.
8. Data Retention
Data processed by the BetaHub Bot is retained only for as long as necessary to operate the BetaHub services, handle reports, feedback, and projects, ensure the security of services and data, meet contractual obligations, and comply with legal obligations.
The retention period depends on the type of data, the nature of the service, the project configuration, the integrations used, information security requirements, and legitimate business needs. Reports, suggestions, feedback, and other information submitted through the BetaHub Bot may be retained for the duration of the project or use of the BetaHub services, unless the customer or user deletes the data earlier or requests its deletion in accordance with applicable law.
After the retention period ends, data is deleted or anonymized in line with applicable legal requirements and information security principles.
9. User Rights
Individuals whose data is processed by the BetaHub Bot have the rights provided under GDPR, in particular the right to:
- access their data,
- rectification of their data,
- erasure of their data,
- restriction of processing,
- data portability,
- object to processing,
- withdraw consent,
- lodge a complaint with a supervisory authority.
Depending on the project configuration, some data may be managed directly by the customer using BetaHub or by project administrators.
Users can also manage selected data and account settings through the BetaHub panel at https://app.betahub.io/. Depending on the configuration, a user may:
- delete their user account,
- delete or anonymize their reports,
- limit selected Bot features (for example, using the
/optoutcommand), - use opt-out mechanisms available in the BetaHub Bot services.
To delete your account, log in at https://app.betahub.io/, open your profile avatar and select Profile & Account (or visit https://app.betahub.io/profiles/me), then click Delete My Account. Deleting an account may result in deletion of the user account data, anonymization of reports, comments, and feedback remaining in projects, or deletion of data linked to the user account, depending on the option chosen and the project configuration.
Requests regarding the exercise of rights or deletion of data can be sent to privacy@betahub.io. UPSOFT may verify the identity of the person making a request before fulfilling it.
10. Related Services and Policies
The BetaHub Bot operates as part of the BetaHub services and may integrate with websites, panels, and services covered by separate privacy terms. Detailed information about cookies, analytics technologies, data security, processing within the BetaHub platform, and the operation of the SaaS services is described in the main BetaHub Privacy Policy.
11. Children’s Privacy
The BetaHub Bot is not intended for independent use by children below the age required by applicable law to use digital services. UPSOFT does not direct the BetaHub Bot to children and does not knowingly process children’s personal data without an appropriate legal basis or the consent required by law.
The BetaHub Bot may be used by customers within user communities, testing programs, support channels, or feedback collection processes. In such cases, the customer is responsible for ensuring that the process of onboarding users and processing personal data complies with applicable law. If UPSOFT becomes aware of unauthorized processing of a child’s personal data, it may take action to restrict processing, anonymize or delete the data, or limit access to selected features of the services.
12. Changes to This Privacy Policy
UPSOFT may update this Privacy Policy in the event of changes in law, changes to BetaHub Bot functionality, technological or organizational changes, changes in how personal data is processed, or changes related to integrations or external services. The current version is published within the services and on websites related to BetaHub. In the event of significant changes, users may be informed through a notice within the BetaHub services, on Discord, or by electronic means.
