This Privacy Policy applies to the services and websites related to the BetaHub platform. It explains how we collect, use, share, and protect your personal data, and what rights you have over it.
1. Data Controller and Contact
The data controller is:

BetaHub is a service developed and maintained by UPSOFT sp. z o.o. Depending on how the service is used, UPSOFT may process personal data either as a data controller or as a data processor acting on behalf of customers using BetaHub.
2. Our Role in Processing Personal Data
2.1 UPSOFT as Data Controller
UPSOFT acts as the data controller in particular for:
- managing BetaHub user accounts,
- handling payments and billing,
- communicating with users and customers,
- handling contact and support requests,
- ensuring the security of the services,
- monitoring the operation of the platform,
- fulfilling legal obligations.
In these cases, UPSOFT independently determines the purposes and means of processing.
2.2 UPSOFT as Data Processor
UPSOFT may also process personal data on behalf of customers using BetaHub — in particular data of end users and testers, bug reports, feedback, and data processed within customer projects. In these cases:
- the customer using BetaHub remains the data controller,
- UPSOFT processes data only to the extent necessary to provide the service,
- processing is carried out in accordance with the agreement with the customer and applicable law.
Where UPSOFT processes personal data on behalf of customers, it uses Data Processing Agreements (DPAs) or appropriate contractual terms consistent with GDPR requirements.
3. What Personal Data We Process
3.1 Users and Customers
- first and last name,
- email address,
- login or username,
- account identifier,
- Discord, Google, GitHub, or other sign-in service identifiers,
- user avatar,
- organization name,
- contact details of customer representatives.
Some profile data, such as your Discord username or avatar, can be hidden or limited according to your privacy settings.
3.2 Testers and End Users
Within bug reports, feedback, and testing features, BetaHub may process:
- the content of bug reports and suggestions,
- screenshots, recordings, and attachments,
- gameplay and application behavior data,
- technical data submitted through plugins and integrations,
- Discord identifiers used for reports submitted via the Discord bot,
- optional tester account data.
The scope of data submitted depends on the project configuration and the data voluntarily provided by users and testers.
3.3 Technical and Security Data
To ensure security and correct operation of the services, BetaHub may process:
- IP addresses,
- system logs,
- device identifiers,
- login information,
- telemetry and diagnostic data,
- data about the operation of applications and services,
- information related to security and error detection.
For gaming projects, technical data may also include hardware configuration details such as operating system, CPU, GPU, or device performance parameters.
3.4 Payment and Billing Data
For paid services, we may process data necessary to handle payments and billing, in particular:
- invoicing data,
- payment history,
- subscription information.
Payment card data is processed directly by our payment provider, Stripe. UPSOFT does not store full payment card details.
3.5 Data Processed Through Integrations and External Services
Depending on the services and integrations configured by customers, BetaHub may process data originating from external services such as:
- Discord,
- Jira,
- GitHub,
- gaming platforms,
- AI/LLM services,
- other integrations used by customers.
4. Purposes and Legal Bases for Processing
Personal data is processed only to the extent necessary to operate and develop BetaHub, support users, ensure security, and fulfill legal obligations. In particular, data may be processed to:
- provide and maintain the BetaHub services,
- manage user accounts and projects,
- handle bug reports, feedback, and suggestions,
- analyze technical problems and application behavior,
- support testing and development processes,
- communicate with users and customers,
- ensure the security of services and systems,
- monitor the operation of the platform,
- process payments and billing,
- develop and improve BetaHub functionality,
- fulfill legal obligations,
- establish or defend legal claims.
For gaming projects, gameplay, application behavior, and hardware configuration data may be used to analyze bugs and crashes, improve game stability and performance, diagnose issues reported by testers, and assess application quality across different hardware configurations.
Depending on the functionality, data may also be processed using AI/LLM services, in particular to:
- automatically analyze reports,
- classify bugs and suggestions,
- support development and support processes,
- improve the organization and handling of reports.
The legal basis for processing may include, in particular:
- performance of a contract or provision of services,
- the legitimate interests of UPSOFT or of customers using BetaHub,
- the user’s consent,
- legal obligations binding on the data controller.
5. Data Sharing and Processors
Personal data may be shared only to the extent necessary to provide the services, ensure security, fulfill legal obligations, or operate features used within BetaHub. Depending on how the service is used, data may be shared with:
- cloud and hosting providers,
- analytics providers,
- payment processors,
- communication service providers,
- AI/LLM service providers,
- providers of integrations used by customers,
- providers of technical support or maintenance.
UPSOFT uses only providers that ensure an appropriate level of personal data security, and applies organizational and technical measures to protect data. Where providers process personal data on behalf of UPSOFT or of customers using BetaHub, processing is carried out on the basis of Data Processing Agreements (DPAs), the providers’ standard data processing terms, or other mechanisms consistent with GDPR. Detailed information about providers, services, and data transfers is maintained in the organization’s security documentation and records.
6. International Data Transfers (Outside the EEA)
In connection with the use of cloud services, SaaS tools, analytics tools, integrations, and external providers, personal data may be transferred outside the European Economic Area (EEA).
UPSOFT aims to store personal data within infrastructure located in the EEA; however, some services or providers may process data outside the EEA, in particular in the United States. Where data is transferred outside the EEA, UPSOFT applies appropriate safeguards consistent with GDPR, in particular:
- Standard Contractual Clauses (SCC),
- the EU-U.S. Data Privacy Framework (DPF),
- or other mechanisms permitted by law.
Such transfers may relate in particular to cloud and hosting services, analytics services, AI/LLM services, monitoring and logging systems, communication services, and integrations used by customers. UPSOFT follows a risk-based approach and limits the scope of data transferred to external services.
7. Data Security
UPSOFT applies organizational and technical measures to protect personal data and ensure the security of the BetaHub services, in particular:
- access control to systems and data,
- authentication of users and administrators,
- encryption of data in transit,
- security monitoring and event logging,
- backups and data recovery mechanisms,
- restricting access according to roles and business need,
- safeguards for cloud environments and SaaS services,
- safeguards related to AI/LLM services.
Data is stored in secured cloud environments, including encrypted PostgreSQL databases and encrypted S3-type storage, within infrastructure managed using AWS services.
Access to personal data is limited to authorized individuals and only to the extent necessary to perform their duties or provide the services. Administrative access to customer and project data is limited to situations requiring technical support, error analysis, handling of support requests, or ensuring the security of services. Access to project data is exercised only to the extent necessary to resolve a reported issue, and in accordance with the access configuration, support request, or permissions granted by the project owner.
UPSOFT also monitors the security of its services, limits processing-related risks, responds to security incidents, and continuously improves its organizational and technical safeguards.
8. Data Retention
Personal data is retained only for as long as necessary to provide the services, fulfill the purposes of processing, ensure the security of services and data, meet contractual obligations, and comply with legal obligations.
The retention period depends on the type of data, the nature of the service, legal requirements, information security requirements, and legitimate business needs. Project data, bug reports, feedback, and other information processed within BetaHub may be retained for the duration of the project or use of the BetaHub services, unless the customer or user deletes the data earlier or requests its deletion in accordance with applicable law.
After the retention period ends, data is deleted or anonymized in line with applicable legal requirements and information security principles. Specific retention periods are determined based on applicable legal, business, and information security requirements applied by UPSOFT.
9. User Rights
Under GDPR and other applicable laws, individuals whose personal data is processed have the right to:
- Access the personal data we hold about them,
- Rectification of inaccurate or incomplete data,
- Erasure of their data,
- Restriction of processing,
- Portability — to receive their data in a common format,
- Objection to processing,
- Withdraw consent at any time,
- Lodge a complaint with a supervisory authority.
Most requests can be managed through your BetaHub account at https://app.betahub.io/. For other requests or appeals, contact us at privacy@betahub.io. We strive to respond within 30 days. UPSOFT may verify the identity of the person making a request before fulfilling it.
10. Cookies and Analytics
BetaHub uses cookies and similar technologies to keep the services working correctly, maintain your session, improve the platform, analyze traffic, and ensure security. We use technical cookies, analytics cookies, and security-related cookies, and rely on analytics and monitoring tools such as Matomo and Google Analytics.
Analytics tools are used only to analyze how the services perform, improve platform quality, monitor performance and stability, and ensure security. BetaHub does not track users within the Discord bot beyond what is necessary for the services to function and for handling reports.

11. Children’s Privacy
BetaHub is not intended for independent use by children below the age required by applicable law to use digital services. UPSOFT does not direct its services to children and does not knowingly process children’s personal data without an appropriate legal basis or the consent required by law.
BetaHub may be used by customers to run user communities, testing programs, or to collect feedback and bug reports. In such cases, the customer is responsible for ensuring that the process of onboarding users and processing personal data complies with applicable law. If UPSOFT becomes aware of unauthorized processing of a child’s personal data, it may take action to restrict processing, anonymize, or delete the data.
12. Changes to This Privacy Policy
UPSOFT may update this Privacy Policy in the event of changes in law, changes to service functionality, technological or organizational changes, or changes in how personal data is processed. The current version is published within the services and on websites related to BetaHub, as indicated by the “Last updated” date. In the event of significant changes, users may be informed through an in-service notice or by electronic means.
