Account Management

Organizations

Organizations allow you to group developers together and manage access to projects. You need to create an organization or be added to one to invite other developers to your projects.

Creating an organization with multiple developers automatically starts a 30-day free trial of the Standard plan, as having more than one developer requires a paid plan.

Need your finance team to handle payment? Use the Share with Finance option during checkout to send them a secure payment link. Learn more in Organization Management.

To create an organization:

  1. Click on your profile picture in the top right corner
  2. Click on Organizations
  3. Click on Create organization
  4. Enter the organization name and click Create

To invite developers:

  1. Go to Organizations from your profile menu
  2. Click on the organization you want to manage
  3. Click on Invite developers
  4. Enter the developer’s email address and click Invite

Creating Projects

You can create a project for each game you’re working on. Projects are where you’ll receive feedback as bug reports or suggestions from your testers.

Solo developers: You can create projects without an organization. Organizations are only needed when collaborating with other developers.

To create a project:

  1. Click on All Projects in the sidebar
  2. Click on New Project
  3. Follow the wizard instructions to create a project

Personal Access Tokens

Secure API authentication for integrations and automation. Personal Access Tokens provide programmatic access to your BetaHub account without exposing your login credentials.

Use cases:

  • API integrations
  • Third-party applications
  • Automated scripts
  • CI/CD pipelines

Changing Your Email Address

You can change the email address associated with your account from your profile settings.

To change your email:

  1. Click your profile picture in the top right corner and select Settings
  2. In the Change Email card, enter your New Email Address
  3. If your account has a password, enter your Current Password to confirm the change (accounts that sign in only through Discord or GitHub skip this step)
  4. Click Update Email

Email changes require confirmation. A confirmation link is sent to the new address — your email is only updated once you click that link. For security, a notification is also sent to your previous address.

While a change is pending:

Until you click the confirmation link, your account keeps showing your current email, and a banner appears on the email settings page noting the address that’s awaiting confirmation. From there you can:

  • Resend confirmation — sends the link again. Before resending, double-check the address is spelled correctly and can receive email — resending to a wrong address won’t help. If you just sent one, you may be asked to wait a couple of minutes before resending again.
  • Cancel change — discards the pending change and keeps your current address.

If you made a typo, you don’t need to cancel first — just enter the correct address and click Update Email again; it replaces the pending one.

Not receiving the confirmation email? Check your spam folder, and make sure the new address is real and can accept email from external senders — shared or system mailboxes (e.g. a system@ address) sometimes reject outside mail, which silently blocks the confirmation. If it still doesn’t arrive after that, contact hello@betahub.io.

Changing Your Password

You can set or change your password from the same profile settings page.

To change your password:

  1. Click your profile picture in the top right corner and select Settings
  2. In the Set Password card, enter your Current Password (if you already have one)
  3. Enter and confirm your New Password
  4. Click Update Password

If you registered through Discord or GitHub and never set a password, this card lets you set one for the first time — afterwards you can sign in with your email and password in addition to your connected accounts. In that case there is no current password to enter.

If you’ve forgotten your password and can’t sign in, use the Forgot password? link on the sign-in page to reset it via email instead.

General Settings

Configure core project behavior and modules:

  • Project visibility (Public/Private)
  • Module activation (Bugs, Suggestions, Tickets, Sentiments, Support Knowledge)
  • Bug description validation level
  • Notification preferences
  • Auto-archiving settings

User Roles and Permissions

Manage team access with role-based permissions:

  • Admin - Full access including organization management, metered for billing
  • Developer - Full project access, metered for billing
  • Support - Access to tickets module, not metered
  • Tester - Can report issues and view based on project settings

Need more granularity? Organization admins can create Custom Roles with specific permission scopes — for example, a QA Lead who triages bugs but can’t change settings. Learn more in the Custom Roles guide.

Tags Management:

  • Create hierarchical tag systems
  • Configure AI tag assignment

Auto-Archiving:

  • Automatically archive old issues
  • Keep project lists clean

Data Retention (Organization Admins only):

  • Automatically delete old inactive bugs, suggestions, and tickets
  • Configurable retention period (30-365 days)
  • 30-day grace period before permanent deletion

  • Do not notify - Only direct mentions
  • Instant notifications - New bugs, features, releases
  • Instant + watch - Get notifications and auto-watch items

Notification Delivery

Choose how you receive notifications:

  • Email notifications for important updates (configurable)
  • Discord notifications via direct message (configurable)

All notifications also appear in the notification bell in the BetaHub interface.

Common Questions

Q: I can’t find a developer from another organization in my project invite list. A: You can only see organizations you belong to. Ask the organization owner to add you first.

Q: I accidentally closed the browser before copying my API token. A: Tokens can only be viewed once. Delete the token and create a new one.

Q: Can I change my organization name? A: Organization names must be unique. Contact support if you need to change an existing name.
